Invoice number format: how to keep every invoice traceable
Use one unique, consistent invoice number for every final invoice. A simple running sequence makes documents easier to find, explain and match to the right payment.
What an invoice number should do
An invoice number is the document identifier, not a description of the sale. It should be unique within your business, easy to search for, and applied consistently so you, your customer and your accountant are referring to the same document.
The simplest rule is a short prefix plus a running number. The prefix can identify the business or document type; the number then rises in one documented sequence. For the other fields that belong on the document, use the invoice checklist.
Choose a format you can keep using
| Format | Example | When it helps |
|---|---|---|
| Prefix + running number | INV-0042 | One clear sequence for one company. |
| Business prefix + running number | BP-0042 | Useful when several businesses share the same filing system. |
| Year label + running number | 2026-0042 | Useful only when the year rule is documented and local record rules allow it. |
- Keep the number short enough to read on an email, PDF and payment reference.
- Use fixed padding if it makes filing easier: `INV-0007`, `INV-0008`, `INV-0009` sort cleanly beside each other.
- Avoid putting a customer name, phone number, tax number or other sensitive detail in the invoice number.
- Write down the rule before changing it. A new financial year or new legal entity may need a different approach, depending on your records and local requirements.
Keep the sequence explainable
Do not reuse a number from an invoice that has been issued, even if the sale was cancelled. Keep the original record and use the appropriate correction document for the situation. A credit note records a reduction to an issued invoice; a new sale needs its own new invoice number.
A simple worked example
- First final invoice
- BP-0007
- Next final invoice
- BP-0008
- Corrected sale after a cancelled invoice
- BP-0009
Illustrative only. The prefix, starting point and any annual rule are business choices that should fit your own records and local requirements.
The key point is not the letters in the prefix. It is that each final document has one number, the same number is not used again, and any correction leaves a clear trail.
How BuzPulse assigns invoice numbers
A signed-in BuzPulse invoice may show the next number while you are filling it in. It is a preview that you can replace by typing your own number, and it is not a reservation: closing the form without saving does not consume it. When you leave the automatic number in place, the database assigns the authoritative number when the new invoice is saved.
- Automatic numbers are assigned per company. The server locks that company's counter while it creates an automatic number, so simultaneous automatic saves are serialised rather than sharing one number.
- A number you deliberately type is retained only if it is unique within the company. Treat manual numbers carefully because they can change the visible run of automatic numbers.
- When an automatic candidate is already used, the server skips it before assigning the next available automatic candidate.
- Duplicating a saved invoice creates a new document and therefore needs a new invoice number. Retrying the same create request is recognised as the same invoice, so it does not create a second document or use the allowance twice.
The two-invoice allowance applies when a company is on free access: two new invoices per company each Asia/Riyadh day. A paid plan, active trial or applicable rollout transition has premium access. Editing, reprinting and downloading an existing invoice do not use another allowance. The Invoice Generator shows the current access details before you create a document.
What this guide does not decide
- It does not prescribe a legal starting number, prefix or annual reset for every business.
- It does not turn an invoice sequence into proof of tax compliance; local rules and your accountant determine that.
- It does not say every visible gap is an error. A manual number or a documented correction can affect the sequence; the important part is being able to explain the record.
Frequently asked questions
- Can I reuse an old invoice number?
- Do not reuse a number from a final invoice. Keep the original record and issue the appropriate correction or a new invoice so the trail stays clear.
- Does opening and closing a BuzPulse invoice waste a number?
- No. The displayed automatic number is a preview. It is not reserved, and the final automatic number is assigned when the invoice is saved.
- Can I type my own invoice number in BuzPulse?
- Yes, a deliberately typed number is kept if it is unique within the company. Use this carefully and keep it consistent with your documented record rule.
- Can two team members get the same automatic invoice number?
- Automatic assignment is handled on the server for each company, with the company counter locked while a new automatic number is created. That prevents two simultaneous automatic saves from using the same number.
