What makes a quote worth sending

  • An expiry date, always. A quote without one is a price you have promised forever. “Valid for 30 days” protects you when material costs move, and it gives the customer a reason to decide.
  • Scope in enough detail to argue from. The line items are what you will be held to. “Bathroom refit” invites a dispute; listing the tiling, the plumbing and what is excluded prevents one.
  • Say what is not included. Most disagreements come from an assumption nobody wrote down — materials, waste removal, parking, out-of-hours work. A short exclusions note is worth more than a long description.
  • Your own reference number. When the customer accepts, the quote number is what ties the job to the invoice. This one numbers your quotes for you.
  • Tax shown separately. VAT as its own line with the rate visible, so the figure the customer compares is the one you meant them to compare.

Worth knowing

  • A quote is not an invoice. It is an offer. Nothing is owed until it is accepted and the work is done — which is why the expiry date and the scope matter more here than anywhere else.
  • Nothing is uploaded. The quote is built and the PDF generated in your browser, so your prices and your customer's details never reach a server.
  • An account is only for keeping it. Building, printing and downloading all work signed out. Signing in lets you find the quote again and turn an accepted one into an invoice without retyping it.
